4. Google OAuth Data Usage

   When you choose to integrate Google services (for example, to send emails via Gmail), the application uses OAuth2 solely to obtain access tokens and refresh tokens needed to send emails on your behalf.

   • Purpose:The OAuth tokens are used exclusively to enable email functionality.
   • Local Storage:All tokens and related OAuth data are stored locally on your infrastructure and are not transmitted to IdealSoft or any external server.
   • No Additional Data Processing:No personal or sensitive Google data is collected or processed beyond what is required to send emails.

5. Data Protection Mechanisms

   IdealSoft follows best practices to ensure the protection of sensitive data, including data obtained via Google OAuth. Although all data remains stored locally within the customer’s infrastructure, we recommend the following measures to ensure the security and integrity of the information:

   1. Encryption:OAuth tokens are securely stored using encryption mechanisms to prevent unauthorized access.
   2. Access Restriction:Only authorized and properly authenticated users should have access to tokens and Google integration settings.
   3. Security Best Practices:We encourage our customers to implement security measures such as firewalls, multi-factor authentication, and restricted access policies to protect their infrastructure.
   4. Secure Local Storage:All Google tokens and credentials are stored exclusively within the customer’s environment, with no transmission to IdealSoft’s external servers.
   5. Updates and Monitoring:We recommend regularly updating the operating system and software to mitigate known security vulnerabilities.
